The Executive Assistant will offer top-tier administrative and operational support to the VP of A&R and the Managing Director, ensuring their time and priorities are effectively managed. This role is perfect for someone who is extremely organized, resourceful, discreet, and passionate about working in the music industry. The position provides insight into executive-level operations and artist development while promoting efficiency in a fast-paced, dynamic environment.
All the responsibilities we'll trust you with:
EXECUTIVE SUPPORT & CALENDAR MANAGEMENT
Oversee intricate and constantly fluctuating calendars by arranging both internal and external meetings, sessions, and travel plans. Actively handle scheduling conflicts while prioritizing meetings that align with business requirements. Prepare and arrange agendas, briefing materials, and follow-up notes for executive meetings. Organize and secure domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.
ADMINISTRATIVE OPERATIONS
Manage daily administrative tasks such as expense reports, purchase orders, and invoice processing. Maintain contact lists, distribution lists, and documentation related to the executives' networks and strategic relationships. Assist in preparing presentations, memos, and reports as needed by the Vice President of A&R or the Managing Director. Support the creation of onboarding materials, team planning tools, and coordinate internally with Red Bull stakeholders.
A&R TEAM SUPPORT
Communicate with artists, managers, and industry contacts representing the Vice President of A&R. Keep sensitive artist and project information confidential. Monitor important dates, release plans, and creative milestones to guarantee the Vice President stays aligned with the label's schedules.
CROSS-FUNCTIONAL SUPPORT & EVENT COORDINATION
Act as a liaison for high-level communications both within the organization and with external parties, ensuring responses are timely and professional. Offer assistance in organizing offsite meetings, team events, showcases, and special projects initiated by either executive. Work alongside other members of the Red Bull Records team and administrative staff across the wider Red Bull network to ensure unity and support.

Requirements

Your areas of knowledge and expertise that matter most for this role:
  • 3+ years of experience in roles such as executive assistant, coordinator, or administrator; experience in the music or entertainment industry is highly desirable.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint), G-Suite/Google Workspace, DISCO, and Dropbox; adaptable to learning new tools and systems in a dynamic and rapidly changing environment.
  • Outstanding organizational and project management abilities, capable of multitasking, prioritizing tasks, and meeting tight deadlines.
  • Excellent written and verbal communication skills; an attentive listener who communicates with clarity and professionalism.
  • Highly detail-oriented with exemplary time management skills and a proactive approach to problem-solving.
  • Professional and discreet in handling confidential information and high-level communications.
  • Ability to work effectively both independently and collaboratively with individuals across diverse teams.
  • Experience in coordinating large meetings, sessions, and events.
  • A passion for music and an understanding of the industry landscape are significant advantages.

Benefits & Perks

The base salary range for this position is $51,200 to $76,800+ cash incentives. Actual salary offers may vary based on work experience. The base pay range is subject to change and may be modified.
