Description

Strategic Responsibility:
The Office Administrator / HR Coordinator will serve the ministry by managing the day-to-day operations and office support activities of Integrity Music. This person will act as a primary point of internal and external contact representing Integrity Music in a professional manner as well as assist the Sr. Director, Human Resources with special projects, including communications, events, issues and concerns.
Job Description:
  • Resolve matters of a routine nature to conserve the Integrity Music Leadership’s time as well as consistently demonstrating initiative, independent thinking, flexibility, and professional confidence.
  • Manages meeting arrangements (such as new hire orientations) and details by reserving rooms, equipment, meals/snacks, etc. Coordinate and prepare agendas and documents for meetings, including the assembling of on-boarding packets and assisting new employees with paperwork.
  • Maintain accurate departmental employee information working in conjunction with HR (i.e., org charts, etc.)
  • Act as a member of the HR team and IMG communications liaison, ensuring that communications are timely and accurate within the business and to/from IMG departments and those outside the organization.
  • Develops processes and procedures that ensure the efficient and cost-effective running of the office to ensure that day-to-day operations align with organizational objectives.
  • General building security and reception tasks, including kitchen and public area upkeep, storage unit organization and inventory, receiving company mail, coordinating biweekly staff lunches.
  • Represents Integrity Music to various public groups including local community leaders, state and federal government leaders, professional contacts, and partner organizations. Maintain necessary list of vendors and business contacts that can influence the organization's ultimate mission.
  • Scheduling the purchasing, maintenance, and repair of office supplies and equipment, caring for bills, monitoring department expenses, fostering a clean and safe work environment, ordering supplies and furniture, documenting company memberships, and serve as aliaison to David C Cook headquarters in Colorado Springs, CO.
  • Protect culture and operations by keeping information confidential.
  • Assist with facilities access (possibly after hours) and event planning for Nashville office, including staff meetings, GEMs, and Town Halls.
  • Perform other job-related duties as assigned.

Requirements

Position Requirements:
Formal Education: Associate’s Degree required. Bachelor’s Degree in Business Administration, Communications, or related field preferred.
Experience:
  • Minimum 3 years in administrative position with experience performing similar duties, including managing and maintaining confidential information and coordinating small to medium-sized projects.
  • Experience supporting executive leadership and exposure to Christian Worship Music industry strongly preferred.
Specialized Knowledge/Certification:
  • Must have exceptional attention to detail and ability to handle multiple competing priorities with grace. Strong organizational and time management skills. Excellent communication and interpersonal skills.
Equipment Knowledge:
  • Well-developed, highly proficient skills with a PC or Mac Operating system and Microsoft Office Suite, including PowerPoint. Comfortable with changing business technology, i.e., Zoom, Teams, Outlook.
