We are looking for an Executive Assistant to join UnitedMasters!
What You'll Do
UnitedMasters, Inc. is seeking an experienced Executive Assistant to support the President and General Counsel of UnitedMasters. As the face of the President's office, you will ensure that the executives' schedule and daily activities are tightly managed to reflect their business priorities and to enable the highest value use of their time. You will also support the company's General Counsel, requiring utmost integrity and discretion. Finally, you will act as the Office Manager for the San Francisco office, ensuring the office runs smoothly, organizing San Francisco team meetings and events, and welcoming visitors.
  • Directly manage the President and General Counsels' calendars and ensure their schedules are followed and respected
  • Support effective and efficient meetings by drafting or obtaining meeting agendas, pre-reads and key information from other stakeholders, taking notes, sending follow up action items and following up.
  • Keep executives well informed of upcoming commitments and responsibilities with meticulous attention to detail
  • Anticipate and proactively meet executive's administrative and logistical needs throughout their day-to-day commitments, meetings, appearances and events
  • Manage and book executives travel and associated arrangements
  • Ensure that all T&E and corporate expenses are properly managed and accounted for
  • Represent the company and executives with the highest degree of professionalism and discretion in communications with internal staff and externally with: investors, clients, partners, artists, outside counsel and vendors, candidates, and other stakeholders.
  • Manage special projects on executives behalf. Assist with presentations, company communications and Program Management.
  • Organize and execute company and team events
  • Oversee and support all administrative duties for the San Francisco office and ensure that office is operating smoothly; manage office supplies inventory and place new orders as necessary; welcome visitors
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating presentations and reports

Requirements

Knowledge, Skills and Abilities
  • Capable of working in a fast-paced environment, multi-tasking and appropriately handling confidential information
  • Ability to anticipate the needs of executives and proactively solve problems independently and in collaboration with other members of the Executive Leadership team
  • Ability to be forward thinking and constantly one step ahead
  • Superior organizational skills and meticulous attention to detail; ensures tasks are completed thoroughly, correctly and with an appropriate sense of urgency
  • A high level of integrity, and the discretion and judgment to effectively handle confidential information
  • Resourceful, hands-on problem solver and team player with a demonstrated ability to work collaboratively with others, and a calm demeanor in stressful situations
  • Excellent verbal and written communication skills, exceptional telephone and email etiquette, and the ability to express thoughts logically and succinctly
  • Proficiency with Google Suite applications, Slack, Zoom, Excel, Power point
Minimum Qualifications
  • 3+ years of experience in an administrative role
  • Background in complex calendaring and travel management (international, domestic) in a fast paced and dynamic environment
  • 1+ years of experience working in a tech or creative industry or other fast-paced environments
Preferred Qualifications
Bachelor's degree
  • Experience working with senior executives
