Executive Assistant to the Chief Executive Officer
Description
- Responsible for the successful operation of the CEO Office, including correspondence, records, meetings, presentations, expense reports, VIP ticket requests, domestic and international travel and logistics, department expenses and invoices, and general administration.
- Coordinates and maintains the CEO’s calendar, including activities and meetings with administrative departments, Leadership Team, Board of Governors and Board Committees, donors, partners, and other external constituents.
- Coordinates bi-weekly CEO Office meetings and tracks action items and responsibilities; attends other executive and other departmental meetings as necessary.
- Assists CEO, Chief of Staff, and Board Relations Manager with cross-departmental projects, board activities, local and national industry initiatives, and other special projects.
- Serves as primary liaison for the Facilities Committee, the Human Resources Committee, and the Joint Artistic Committee.
- Conducts job functions and activities in alignment with the principles of the SFS’s Diversity, Equity, and Inclusion (DEI) work, and supports the organization’s DEI work through participation in working groups and other initiatives as possible.

Requirements
- 3-5 years’ experience directly supporting high level executives.
- Experience working with senior management, board members, musicians, civic and cultural leaders preferred.
- Ability to collaborate effectively in a team environment.
- Strong organizational skills, with ability to work independently and manage highly detailed tasks.
- Ability to handle multiple tasks and priorities, and meet deadlines in a high-volume, fast-paced environment.
- Excellent communication skills, both written and verbal.
- Strong situational awareness; able to handle confidential and sensitive information with discretion.
- Ability to professionally and diplomatically communicate and interact with a wide variety of internal and external stakeholders.
- Advanced knowledge of MSWord, Excel, Outlook.
- Ability to proofread well and to write with clarity and style.
- Excellent problem-solving and project management skills.
