Executive Assistant
Description
- Manages calendars for the SVP, Chief Financial Officer (CFO), and SVP, Chief Technology Officer (CTO).
- Monitors the conference room schedules and alleviates conflicts that may occur.
- Books meetings and events for SVPs and for direct report teams as needed.
- Plans and coordinates all aspects needed for successful meetings both on and offsite. Duties range from monitoring costs, location / venue selection, food, AV, video and conference calls, technology needs, material handling, and effectively communicating details.
- Develops departmental newsletters.
- Creates department presentations as needed.
- Acts as IProc Preparer for F&A department.
- Acts as Liaison / Coordinator for office equipment repair, shipping, and printing requests.
- Codes invoices for payment as necessary.
- Acts as IExpense Preparer for SVPs.
- Prepares travel arrangements for SVPs.
- Thoroughly screens incoming calls and responds independently where appropriate for SVPs.
- Composes and prepares confidential correspondence, reports, and other complex documents for the SVPs.
- Maintains department distribution listings.
- Other duties as assigned.
- Regular in-office attendance.

Requirements
- Intermediate to advanced level proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook
- Multi-task and prioritize critical projects/information with frequently changing needs.
- Strong organizational and project management skills.
- Detail oriented.
- Good judgment and discretion.
- Transcribe and prepare written communications.
- Excellent communication skills, verbal and written.
- Work under deadlines.
