Event Production Specialist
Description
- Must ensure positive and organized environment for the production department and venue locations.
- Schedule, train and direct production department support personnel.
- Responsible for adhering to the budget and tracking the financial aspects of department.
- Create, maintain production inventory / maintenance logs. Ensure all procedures are cost effective.
- Create and maintain global production timeline with EVP of Production and Production Managers, inclusive of load in, event and load out.
- Create and distribute daily schedule to all staff in a timely manner.
- Maintain regular communications with EVP of Production and Production Managers to facilitate proper intra-departmental communication and coordination.
- Advance logistical details for projects/events in conjunction with the EVP of Production and Production Managers.
- Attend production / operation meetings as directed by the EVP of Production.
- Maintain a detailed and thorough filing system of all current and past event files on the shared drive.
- Maintain accurate vendor records, following purchase ordering procedures.
- Execute vendor agreements for confirmed vendors.
- Secure certificates of insurance from confirmed vendors.
- Submit approved project invoices in company accounts payable system.
Requirements
- Calm / Professional and customer service-oriented demeanor.
- Must possess superior interpersonal communication and organizational skills.
- Ability to be a self-starter and use down time effectively to support department.
- Strong written and oral communication skills.
- The ability to independently manage your time, prioritize tasks to meet directed deadlines.
- Minimum of 2 years Event Production experience.
- Ability to handle multiple projects simultaneously.
- Ability to make clear concise decisions, often with limited information.
- Develop a clear understanding of the key players in the event and entertainment business.
- Ability to work in a demanding environment and through difficult situations.
- Able to work flexible and long hours, including late nights and weekends.
- Must have an impeccable attention to detail.
- Quick-thinking and an adept problem-solving skills.
- Display initiative, accountability, while also working as a constant team player who is collaborative, positive and flexible.
- Computer literate on Apple / Mac.
- Must have a high level of proficiency in Microsoft Outlook and Microsoft Office Suite.
- Physical Demands/Working Environment:
- Must be able to stand / walk for extended periods of time.
- Must be able to lift up to 50lbs.
- Moderate to loud level or noise in work environment.
