Department Coordinator
Description
- Provide administrative and reception support to maintain daily operations including but not limited to: Calendar management for Department, faculty, and Chair schedules; budget facilitation and record-keeping; student advising, dissemination of Department information such as faculty office hours, Chair advising availability and Department meetings; engaging with visiting artists; take and distribute accurate minutes of agenda items and actions taken in Department meetings; purchasing office supplies and equipment; and processing visiting artist, major residency and travel requests.
- Demonstrate strong communication skills and represent the Professional Music Department on- and off-campus; communicate Departmental information including the preparation of written correspondences (hard copy and/or electronic), including program materials, emails, social media, Department website and Departmental policies.
- Serve as the point-person for the Department office by providing a supportive and responsive environment for students to access resources, personnel, or materials related to the Professional Music Major. Answer student questions and/or direct students to the appropriate faculty, Chair, or College office.
- Prepare, manage, and share documents that support office and classroom administration; maintain proficiency with administrative technology platforms for the purpose of departmental use for student records, and student class registration.
- Maintain Departmental budget information.
- Work closely with the Chair to promote and execute Departmental events.
- Assist with the administration of Berklee Revelation Records, as needed.
- Maintain and update Department documents.
- Information advising: Responsible for answering general questions from students and fielding outside inquiries concerning the Professional Music Department.
- Represent the Professional Music Department to provide information and serve as a resource to prospective students and their families at Berklee College of Music majors fairs and enrollment/recruitment events
Requirements
- 3 - 5 years of strong Administrative experience, prior higher education experience is preferred
- Demonstrated experience and skill using various software products including Microsoft Office, managing databases and conducting research for projects.
- Strong communication, customer service, and interpersonal skills are required
- Ability to work independently and demonstrate initiative to identify opportunities for office and process improvements
- Budget management experience preferred.
- Knowledge and/or appreciation of music and other arts preferred.
- Skill with graphic arts or photography a plus
