Summary
The Special Events team is responsible for selling, booking, and operating all non-arena-wide events which per year. The Coordinator, Special Events & Entertainment will have a strong role in organizing the venue logistic plans for special events in the arena bowl and all club spaces.
Essential Functions
  • Responsible for providing high level of customer service to all clients and protecting confidentiality of client specific event details.
  • Communicates effectively (oral and in writing) with Entertainment team, senior leadership, partners, and other stakeholders including all internal arena departments.
  • Assist in planning and execution of event operations for dark day private events (meetings, receptions, banquets, graduations, tradeshows, film/TV shoots, etc.) while optimizing event calendar and booking dark days surrounding ticketed arena events, such as NBA, WNBA & Concerts.
  • Liaise with key arena departments such as event services, operations, cleaning, AV and F&B, as main client contact for all supporting departments.
  • Communicate clear event details to necessary arena departments to ensure appropriate staffing levels for events.
  • Assist with event calendar maintenance and scheduling.
  • Interact with clients in areas of customer service, problem solving and stressful conflicts under time constraints.
  • Provide department support to Senior Director for events as needed or special projects.
  • Take photos and manage photo database for archival and marketing purposes.
  • Assist as needed with special event leads via the hotline or special events inbox.
  • Assist with identifying new business opportunities, retain existing clients, and solicit new clients to support and exceed department revenue goals
  • Work directly with clients through the contracting process (i.e., provide availability of calendar and club spaces, schedule initial site visits, manage and execute contracts, collect payment and insurance and oversee event day logistics as key client liaison)
  • Maintain positive client relationships to ensure recurring events
  • Assist with building/maintaining CRM database and event management software
  • Attend various events to promote and generate new leads

Requirements

Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The employee should have:
  • BA/BS in Business, hospitality or related field required
  • Minimum 1-2 years related experience in coordinating multiple events
  • Exceptional interpersonal skills to build rapport and relationships with a variety of clients within managed accounts
  • Creative approach to optimizing arena presence in marketplace; Detail-oriented, highly organized, and able to prioritize multiple projects;
  • Polished communicator, both in writing and orally; Strong client-relations skills and refined attitude at all times;
  • Required knowledge of Microsoft Word, Excel, Outlook, PowerPoint
  • Must be highly motivated and a collaborative team player
  • Experience with event booking system is a plus

Benefits & Perks

SALARY RANGE
$66,500– $75,000 base salary
WORK ENVIRONMENT
The incumbent will primarily work in an office environment located in Industry City, however, may be expected to attend events which may take place on weekends and holidays.
